Role location: Riyadh, Saudi Arabia

Job Purpose: You will oversee end-to-end guest relations operations across its global event portfolio. The ideal candidate is meticulous, thrives in fast-paced environments, and brings strong expertise in communication, CRM systems, and hospitality for high-profile sporting or entertainment events.

Duties and Responsibilities

  • Develop and maintain the complete communication journey for guests attending all EWCF events.

  • Define and manage guest privileges for multiple guest categories.

  • Draft, proofread, and format invitations, letters, brochures, and other guest-facing documents.

  • Oversee the invitation process from preparation to dispatch.

  • Manage reminder communications, follow-ups, and guest updates.

  • Collaborate with CRM suppliers on daily operational needs and system improvements.

  • Produce and maintain accurate RSVP reports for all events.

  • Conduct rigorous data validation, merge and cross-check guest data from previous years, and ensure data integrity.

  • Work with external vendors to recruit, onboard, and train guest relations managers.

  • Coordinate closely with travel partners on guest flight and accommodation arrangements.

  • Liaise with the internal visa team to ensure smooth and timely visa processing for all guests.

  • Perform continuous quality control checks on the CRM portal and application, providing regular feedback to suppliers.

Education and Experience

  • Bachelor’s degree preferred—ideally in Hospitality, Communications, Sports Management, or a related field. Equivalent professional experience in guest relations or event management will also be considered.

  • 5+ years of experience in guest management or guest relations, ideally within major sporting events, entertainment events, or large-scale international events

Knowledge, Skills, and Abilities

  • Exceptional attention to detail in preparing documents (brochures, invitations, formal letters, etc.)

  • Strong motivation and resilience; ability to thrive in high-pressure, fast-paced environments

  • Advanced data handling skills; proficient in Excel, Google Sheets, and data validation

  • Flexibility to work irregular hours, evenings, and during event periods

  • Excellent communication and guest-facing skills

  • Strong organizational and multitasking capabilities

  • Hands-on experience with CRM systems (knowledge or certification is a plus)

  • Proven track record in communicating with VIPs, partners, and high-profile guests

  • Experience working in the GCC region is highly desirable

  • Arabic language skills are a strong advantage

  • Understanding of the esports industry is a plus
